For example, vague language such as "We will discuss it later" can cause confusion about the timing or subject of the discussion. Additionally, hastily composed messages often contain grammatical errors, misspellings, or incomplete sentences, which diminish professionalism and hinder comprehension. Tone misinterpretation is another problem, especially in electronic communication lacking non-verbal cues, where sarcasm or frustration might be misunderstood as hostility. Finally, missing information or context can leave recipients unsure about the next steps, which delays productivity and decision-making. These problems collectively compromise effective communication and can lead to errors or conflicts in workplace interactions.
Part B: Writing a Process Description
One well-understood process with multiple distinct steps is brewing coffee using a drip coffee maker. The process begins by filling the coffee maker's reservoir with clean, cold water, ensuring the amount matches the desired number of cups. Next, measure the appropriate amount of coffee grounds, typically one to two tablespoons per six-ounce cup, and add them to the paper filter placed in the filter basket. Once the coffee grounds are prepared, place the filter into the basket and close the lid securely. Turn on the coffee maker and allow the machine to heat the water and pass it through the coffee grounds mechanically. The hot water then drips through the grounds, extracting flavors and aromas, and filters into the carafe below. After the brewing cycle completes, turn off the machine and carefully pour the freshly brewed coffee into cups. Finally, clean the filter basket and carafe to maintain the equipment’s functionality and hygiene. This process ensures a consistent and tasty coffee experience every time it is executed correctly.
Part C: Difficult to Follow Instructions
Here, I have included a problematic set of instructions for assembling a basic piece of furniture found online:
“First, take the parts and unbox them carefully. Then, align the parts together according to the image (see the diagram). Use the screws and tools to attach pieces as shown. Make sure everything is tight and secure. Continue attaching all parts in the prescribed order. Once completed, check all joints for stability. If needed, tighten any loose screws. Finally, verify that the assembled item is level and steady.”
As the Associate Director of Communications, I reviewed this document utilizing the “Checklist for Instructions and Procedures.” Specific issues identified include: vagueness in the initial step ("take the parts" does not specify what parts or how many); reliance on a non-existent diagram ("see the diagram") without providing it; lack of specific tools required; ambiguous instructions like "align the parts" without detailing how or what features to align; insufficient detail on tightening processes ("make sure everything is tight" is subjective); and missing safety warnings or precautions. These issues make the instructions unclear, inconsistent, and difficult for users to follow confidently, especially without visual aids or detailed steps.
Part D: TED Talk Lecture Evaluation
I watched a TED Talk titled "The Power of Vulnerability" by Brené Brown. I selected ten salient evaluation criteria from the “Checklist for Oral Presentations.”
- Eye Contact: Brené maintains good eye contact, engaging throughout, which strengthens her connection with the audience.
- Voice Modulation: She varies her tone effectively to emphasize key points, making the presentation lively and engaging.
- Body Language: Her gestures are natural and complement her speech, adding emphasis and credibility.
- Clarity of Speech: Her speech is clear, and her pronunciation is precise, which makes her message accessible.
- Pacing: She maintains a steady pace, ensuring the audience can follow her ideas without feeling rushed or bored.
- Use of Visual Aids: Her slides are minimal but effective, supporting spoken content without distraction.
- Audience Engagement: She uses rhetorical questions and personal stories to connect with the audience, maintaining interest.
- Confidence and Poise: Brené appears confident and comfortable, which enhances her credibility as a speaker.
- Body Movement: She uses movement purposefully to emphasize points, avoiding distracting pacing or fidgeting.
- Closing Effectiveness: Her conclusion is strong, leaving the audience with memorable insights and a call to reflect on vulnerability.
Overall, Brené Brown demonstrated strengths in her engaging delivery, body language, and clarity, with minor areas for growth in optimizing slide transitions and incorporating direct audience interaction.
