Request For Proposalmgmt 393 Group Case Projecta Introduction And I
We invite vendors to submit proposals and prepare a presentation to design, implement, and support a corporate information system in accordance with the requirements, terms, and conditions of this Request for Proposal (RFP). Our goal is to implement a new startup business and develop a business information system that will enable us to be competitive within our industry through an effective Management Information System comprising a reliable computer network, data communications services, and various information technology components.
Our new startup company, Eagle Ridge Aviation, is an airplane reseller with headquarters in Denver, CO, and approximately 15 employees across Denver, Irvine CA, and Orlando FL. Projected revenues for fiscal year 2017 are estimated at $4 million, with plans to sell two airplanes per quarter at an average of $500,000 each. Currently, we lack any technology, including computers or accounting software, which creates significant challenges for our accounting, sales, marketing, and customer service departments.
This RFP is not an offer to contract, nor does acceptance of a proposal bind us to award a contract. We reserve the right to negotiate with multiple vendors and to contract based on factors beyond price. Responses must remain valid for 90 days from submission. All information provided is confidential and for proposal purposes only; no disclosures are permitted without our written consent. We may reject any or all responses and seek further negotiations or clarifications as needed. Vendors are responsible for their proposal preparation costs.
Proposal submissions should be delivered in person to the class instructor, including company name, team members, and titles, by week seven of the semester. Vendors must indicate their intention to bid or not to bid during class, and non-bidders are requested to destroy the RFP. Attendance at a mandatory Bidders’ Conference during weeks 3-6 is required, with a maximum of five representatives per vendor. Questions regarding the RFP should be submitted in writing by week 6, with answers provided in class. An oral presentation by the vendor and team members will be part of the evaluation process.
The project’s schedule includes RFP distribution in week 3, questions due by week 6, proposal submission in week 7, and subsequent vendor oral presentations. Implementation of the first phase must be completed within six weeks, connecting three main departments: accounting, sales/marketing, and customer service, with considerations for network sizing, redundancy, wireless options, and VPN connectivity.
The proposal should follow the specific outline provided, covering an executive summary, vendor profile, hardware recommendations, network overview, telecommunications architecture, applications, support and training, and pricing details. The evaluation criteria favor cost-effectiveness, future scalability, solution comprehensiveness, support capabilities, and demonstrated commitment to quality, with weighted importance as specified.
Paper For Above instruction
In response to the RFP issued by Eagle Ridge Aviation, this proposal outlines a comprehensive plan to develop and support a robust, secure, and scalable information system tailored to the company's startup needs. Emphasizing innovative network design, modern hardware integration, and strategic application deployment, our approach aims to establish a foundation for operational efficiency, market competitiveness, and future growth.
Executive Summary
Our proposal offers a tailored modern IT infrastructure that integrates high-performance computing, sophisticated networking, and advanced security protocols. We propose a hybrid network architecture combining wired and wireless solutions to maximize flexibility, reliability, and scalability. Our approach minimizes disruption through phased implementation, comprehensive support, and employee training. The core of our solution hinges on a scalable server infrastructure, secure VPN connectivity, and cloud-based applications for accounting, email, and collaboration, aligned with Eagle Ridge Aviation's growth objectives.
Vendor’s Corporate Profile
Our company, TechSolutions Inc., boasts over 20 years of experience in enterprise IT solutions, specializing in startups and small-medium business environments. Our organizational structure emphasizes customer-centric project management, with dedicated teams for network design, hardware deployment, software integration, and support services. Financial stability is confirmed through robust annual reports, illustrating consistent growth and dependable service capacity. Notable reference clients include aviation service providers and logistics companies with similar network complexities.
Hardware Recommendations
We recommend outfitting Eagle Ridge Aviation with high-performance computers featuring Intel 7th or 8th generation i5 or i7 processors, 16GB RAM, SSD storage, and DVD burners, with optional external DVD writers for flexibility. Each employee will receive a laptop with docking stations and dual monitors to enhance mobility and productivity. Networked color laser printers with high throughput and multifunction capabilities will be shared across departments.
Network Infrastructure
The LAN architecture will utilize Category 6 cabling, organized in a star topology with a central wiring closet housing managed switches capable of expanding with additional ports. Redundant power supplies and UPS will ensure continuous operation. Network equipment will include fiber-optic links for backbone connections, supporting high-speed data transfer. Wireless access points will provide secure Wi-Fi coverage, with network segmentation to protect sensitive data. Designed for scalability and future expansion, the LAN infrastructure will support VoIP, video conferencing, and other real-time communication tools.
Telecommunications Architecture
Our proposed WAN architecture leverages MPLS or high-speed VPN circuits between offices, ensuring secure and reliable connectivity with optimized latency. For remote access, we recommend establishing site-to-site VPNs and remote VPN access for employees working off-site. The WAN will incorporate firewalls, intrusion detection systems, and VPN encryption to safeguard data. We suggest exploring broadband options like T1 lines or xDSL for cost-effective solutions, with potential for fiber optics as the company scales. A detailed architecture diagram will illustrate layered security and redundancy strategies to ensure high availability.
Application Suite
To streamline operations, our recommendation includes a client-server accounting system such as QuickBooks Enterprise or Sage 300, offering scalability and integration features. Email and collaboration will be managed through Microsoft Exchange Server, providing group collaboration, calendaring, and secure messaging. Desktop operating systems will standardize on Windows 10 Professional, ensuring compatibility with enterprise applications. Microsoft Office 2019 or Office 365 will serve as the productivity suite. Compatibility standards will be adhered to, ensuring interoperability across all software components.
Support, Training, and Maintenance
Our support model encompasses pre-deployment planning, on-site installation, and post-implementation support, including remote monitoring and troubleshooting. Comprehensive employee training sessions will cover hardware usage, network security protocols, and software applications, delivered through on-site workshops and online materials. Maintenance agreements with hardware manufacturers will ensure quick turnaround times for repairs. Managed services will be provided for routine system updates, security patches, and backup management, allowing Eagle Ridge Aviation to focus on core business activities.
Pricing Structure
Based on our assessment, the estimated costs are as follows: wiring and wireless setup totaling $15,000, hardware investments around $35,000, software licensing approximately $12,000, installation and training services at $8,000, ongoing maintenance agreements at $5,000 annually, and miscellaneous expenses including contingency funds. A detailed spreadsheet accompanies this proposal for transparency and decision-making.
In conclusion, our proposal delivers a scalable, secure, and efficient information technology infrastructure aligned with Eagle Ridge Aviation's startup strategy and growth ambitions. Our team’s expertise and commitment ensure a seamless transition to digital operations, positioned for future expansion and technological advancements.
