This paper outlines the proposed system, develops a stakeholder communication analysis plan, and proposes a media choice plan, integrating insights from existing project management software systems applicable to construction projects.
Proposed System Description
The proposed cloud-based information booth is a digital platform designed to facilitate seamless on-site communication among project stakeholders. The system leverages cloud computing to ensure scalability, accessibility, and real-time data sharing. The core functionalities include real-time messaging, document sharing, issue tracking, and reporting, all accessible via desktops and mobile devices. The cloud infrastructure enables centralized data storage, secure access, and remote management, which are advantageous for construction sites where mobility and rapid response are vital (Hewage & Ruwanpura, 2009).
Implementing a cloud architecture ensures that stakeholders such as project managers, workers, suppliers, and clients can communicate effectively without geographical barriers. The system will integrate with existing project management tools to enhance collaboration and decision-making processes. Furthermore, features like alerts and notifications will ensure timely updates, reducing delays caused by miscommunication or lack of information. The system's design prioritizes user-friendliness, security, and interoperability, aligning with industry standards for construction project communication tools (Dainty et al., 2011).
Stakeholder Communication Analysis Plan
The success of the cloud-based information booth hinges on a comprehensive stakeholder communication plan. Stakeholders in this context include project managers, site supervisors, workers, clients, suppliers, and regulatory agencies. Each group has distinct information needs, communication preferences, and levels of technical proficiency.
Using the Stakeholder Communication Analysis framework, stakeholders are categorized based on their influence, interest, and communication requirements. For instance, project managers and clients are high-influence, high-interest stakeholders requiring detailed and frequent updates via formal channels such as reports and scheduled meetings. Workers and site supervisors, on the other hand, are more engaged through informal, real-time communication methods such as instant messaging or alerts to ensure immediate issue reporting and hazard notifications (Bourne, 2015).
The plan involves establishing tailored communication strategies for each stakeholder group. Regular updates through email summaries and dashboards will be employed for high-level stakeholders, while real-time notifications and mobile app alerts will cater to on-site personnel. Feedback mechanisms, such as survey forms and dedicated support channels, will be implemented to continuously refine communication effectiveness. This tailored approach ensures stakeholders receive relevant information in formats they prefer, thereby enhancing engagement and project efficiency.
Media Choice Plan
Choosing effective media channels is critical for ensuring timely and clear communication. The media choice plan evaluates various communication channels against criteria such as immediacy, accessibility, security, and ease of use.
For high-priority, immediate communication needs, such as safety alerts or critical updates, instant messaging applications integrated within the cloud system will be used. These allow real-time interactions with minimal latency, crucial in construction environments (Olhager & West, 2000). For detailed and official documentation, email and centralized dashboards will serve as primary channels, providing record-keeping and reference capabilities. Face-to-face meetings, video conferencing, and on-site briefings remain vital for complex discussions requiring discussion and consensus-building (Nguyen & Bryant, 2004).
Mobile devices are highlighted as essential tools given their ubiquity among on-site workers, enabling access to the system anytime and anywhere. Cloud security measures, such as encryption and user authentication, will protect sensitive data shared over these channels. As part of the plan, training sessions will be organized to familiarize stakeholders with selected media and ensure optimal utilization of communication tools.
Survey of Existing Project/Program Information and Communication Systems
To inform the development of the cloud-based information booth, an evaluation of existing project management software tailored for construction was conducted. Utilizing the Buyers’ Guide for beginners selecting project management software and Supplementing with insights from the solutions available on GetApp, three softwares—Procore, Buildertrend, and PlanGrid—were selected for comparison based on their features relevant to construction communication (Procore Technologies, 2023; Buildertrend, 2023; PlanGrid, 2023).
A matrix was constructed to evaluate each tool against criteria such as user-friendliness, integration capabilities, real-time updates, mobile access, security features, reporting functions, and customer support. Procore emerged as a comprehensive platform with extensive integration and real-time data functionalities, suitable for complex projects. Buildertrend offered a user-friendly interface with strong communication modules for smaller projects. PlanGrid excelled in mobile accessibility and document management. The matrix revealed that while all three tools meet fundamental communication needs, Procore's capabilities seem most aligned with the requirements of a cloud-based information booth for construction and on-site communication (Procore Technologies, 2023; Buildertrend, 2023; PlanGrid, 2023).
Conclusion
Developing a cloud-based information booth requires a strategic approach encompassing system architecture, stakeholder communication, and media selection. The proposed system emphasizes real-time, secure, and accessible communication tailored to construction project needs. The stakeholder communication plan ensures messages are appropriately targeted and delivered through preferred channels, enhancing collaboration and decision-making. The media choice plan prioritizes immediacy and security while leveraging mobile technologies to facilitate on-site communication. Findings from existing project management tools provide valuable insights, guiding the selection of the most suitable software components to support the proposed system. Overall, integrating these strategies will foster efficient, reliable, and transparent communication in construction projects, aligning with best practices and technological advancements.
