Write A Draft Letter Refusing A Customer's Request

Write a draft letter refusing a customer's request while maintaining a positive

Go back to the “Globe Airlines” case and review it. In particular, review the criteria for the reply to Lyn Smith set out by your immediate supervisor Rita Simmons. Ms. Simmons has now told you that you cannot offer the E-TUVs to the customers.

Prepare a draft letter to Lyn Smith, in which you attempt to refuse her specific requests while doing everything you can (within the criteria/limitations you are working under) to persuade her to return to Globe as a customer in future.

Forward your draft letter to your supervisor, Rita Simmons, as an attachment to a short transmittal memorandum, in which you submit your draft letter to her for review, give a very brief explanation of your approach, and ask her for comment and approval to proceed to send the letter to the customer. Subject: Draft Letter to Lyn Smith Refusing Request with Positive Future Outlook

Dear Ms. Smith,

Thank you for reaching out and sharing your recent experience with Globe Airlines. We genuinely appreciate your loyalty and the importance of your feedback. It is always our goal to provide the highest level of service and to ensure our passengers feel valued and taken care of during their travels.

We understand your request for the exclusive electronic “Travel with us” voucher and regret to inform you that, due to company policy and current operational limitations, we are unable to offer this specific incentive at this time. We apologize for any disappointment this may cause. Please know that this decision was made after careful consideration of our current policies and to maintain fairness and consistency for all customers.

However, we deeply value your patronage and would love the opportunity to serve you again in the future. To demonstrate our commitment to your satisfaction, I would like to extend a personalized offer: a complimentary upgrade on your next flight with Globe Airlines, subject to availability. We hope this gesture reflects our appreciation for your continued loyalty and encourages you to choose Globe for your upcoming travel needs.

We are continuously striving to enhance our service offerings and customer experience. Your feedback is vital in helping us improve and adapt to the needs of our valued passengers. If there are any other concerns or suggestions you wish to share, please do not hesitate to contact me directly.

Thank you once again for choosing Globe Airlines. We look forward to welcoming you back onboard soon and providing you with the exceptional service you deserve.

Sincerely,

Rita Simmons

Subject: Draft Letter to Lyn Smith Responding to Request

I have prepared a draft letter addressed to Ms. Lyn Smith, in response to her recent communications with Globe Airlines. The letter aims to politely refuse her request for the electronic “Travel with us” voucher due to company policy constraints, while emphasizing our desire to retain her as a valued customer through a personalized gesture—a complimentary upgrade on her next flight.

My approach focuses on maintaining a positive tone, acknowledging her concerns, and offering an alternative incentive that aligns with our commitment to exemplary customer service. I believe this method balances our limitations with the goal of fostering goodwill and future loyalty.

Please review the attached draft and provide any comments or suggestions. Your approval to proceed with sending this letter to Ms. Smith would be appreciated.

Thank you for your guidance and support.

Best regards,
