This week I want you to discuss you, and you’re buying habits! Length and format: 800 words. Topic: Congratulations on the decision to buy a new car! As you’ll see, when it comes to procurement, we follow the same sets of rules as do most companies! Well, at least we should be following some rules, as so should many of the companies that currently don’t. By identifying what we need and how it fits our needs, when it’s needed, etc., we can much more easily define what we want and what we’re willing to pay.

So first, some rules: Go to the Business Dictionary where you will find an article on “The 10 Steps of the Procurement Cycle”. Apply these steps to your purchase of the new car. Tell me why you’re going to purchase that car, and how each step would apply. For example, Step 5 defines the need for a Purchase Order. To talk to this step, tell me if, when you go to the dealer, you will bring a list of what you want on your vehicle? Maybe you’ll have some payment terms already defined because you have a pre-approved loan from your bank. Tell me what you’ll bring. Have some fun here. Perhaps you “own” a business and the new vehicle is a truck for deliveries, maybe heavy machinery for construction. Use your imagination! Apply the procurement process to your thoughts to help ensure you’re making the right decisions.

Applying the ten steps of the procurement cycle provides a systematic approach that ensures informed and effective decision-making. In my case, I am planning to purchase a new sedan to replace my aging vehicle, which no longer meets my daily commuting needs efficiently. I will apply each step of the procurement cycle to this purchase, illustrating how these guidelines help streamline my buying process and ensure that I make a cost-effective, suitable choice.

Step 1: Recognizing the Need

The first step involves acknowledging the necessity of a new car. My current vehicle has high mileage, frequent repairs, and inadequate fuel efficiency. Recognizing that these issues impact my daily commute and financial expenditure, I determine that purchasing a new, reliable, and fuel-efficient vehicle is essential. This need aligns with my desire to save on maintenance costs and improve overall transportation efficiency.

Step 2: Defining the Requirements

Next, I specify the features I require in my new car. This includes a compact sedan with good fuel economy, safety features, a comfortable interior, and modern infotainment systems. I decide that a vehicle with a maximum budget of $30,000 is acceptable, balancing quality and affordability. This step ensures I narrow down my options to vehicles meeting these specific criteria rather than considering every available model.

Step 3: Developing a Purchase Strategy

In this phase, I explore various options—researching brands, reading reviews, and visiting multiple dealerships. I compare the financial terms, warranties, and available discounts. I plan to visit at least three dealerships to evaluate options physically. I also consider pre-approval of a loan from my bank, which will influence my financing strategy. Having a clear plan ensures my search remains focused and efficient.

The Purchase Order, in this context, is the final agreement outlining all terms, including price, vehicle specifications, payment schedule, and warranties. Having a clear understanding and documented terms prevents misunderstandings later.

Step 6: Approving and Finalizing Contract Terms

Once negotiations conclude, I review the contract thoroughly—checking for hidden fees, confirming the agreed-upon terms, and ensuring contractual compliance with the negotiated deal. I ensure that payment terms align with my pre-approved loan and that all deliverables are clearly outlined. I approve the contract, which then becomes the legal basis for the transaction.

I schedule regular maintenance and address any issues promptly, adhering to the manufacturer’s recommendations.
